Booking terms

These terms govern the use of FITROOM by the professionals who rent the studio's room by the hour. You accept them when you send your application, together with the house rules.
1. Subject
The studio named in the legal notice makes its equipped room available, by the hour, to approved professionals (personal trainers, nutritionists, osteopaths and others). FITROOM is the tool you use to apply, book, pay and manage your bookings.
The house rules published by the studio, which you see when you apply and when you book, are part of these terms.
2. Account and approval
- You sign in with a 6-digit code sent by email, valid for 10 minutes: there are no passwords. You are responsible for access to your mailbox.
- To apply you give your name, type of profession, phone and, if you wish, your VAT number, and you accept these terms and the house rules. The date of acceptance is recorded on your profile.
- Your application stays pending until the owner approves it: only approved professionals can book.
- The owner can suspend a professional: bookings already made remain valid, but no new ones can be made.
3. Booking
- You see and can book only the slots that are really free, at least 60 minutes ahead and up to 28 days ahead.
- After every booking the room stays reserved for 15 minutes for the changeover between professionals: this time is not charged.
- The price is the one shown when you book, and it does not change if the rates change later.
- Two bookings can never overlap: the system prevents it.
4. Payment
- You pay online with Stripe. When you pick a slot we hold it for you for 30 minutes: you must complete the payment within that time.
- The booking is confirmed only when Stripe reports that the payment succeeded; coming back from the payment page is not enough on its own.
- If the time runs out without payment, the slot becomes free again. If the payment arrives late and the slot is still free, the booking is confirmed; if someone else took it meanwhile, you are refunded in full automatically.
- Card details are handled by Stripe only.
- The studio can also record payments received in other ways (manual payments).
- FITROOM does not issue invoices: every month the app shows your statement with hours, amounts and refunds. Invoices, when due, are issued by the studio.
5. Cancellation and refunds
- You can cancel a confirmed booking until it starts.
- If you cancel more than 24 hours before the start, you are refunded the full amount paid for that booking.
- If you cancel less than 24 hours before the start, the booking is cancelled without a refund.
- A booking not yet paid can be cancelled at any time before it starts, at no cost.
- Before you confirm a cancellation the app shows whether you will be refunded and how much.
- Card refunds go through Stripe to the same payment method; the time they take depends on your bank. Refunds of manual payments are handled directly by the studio.
- The cancellation window that applies to a booking is the one in force when you booked it: it stays the same even if the studio changes it later.
6. Rescheduling
- You can move a confirmed booking at most 1 time.
- You can move it only more than 24 hours before the start, like a refunded cancellation.
- The new slot must be free.
- The number of reschedules and the window that apply to a booking are the ones in force when you booked it: they do not change if the studio changes the rules later.
7. Access to the room
The instructions to enter the room appear in the details of a confirmed booking from 2 hours before the start.
8. Use of the room
- You use the room and the equipment according to the studio's house rules and only during the booked time.
- You are responsible for your professional activity and for your clients.
- Your clients' data stay yours: FITROOM does not collect them, and we ask you not to enter them in the app.
9. Liability and insurance

10. Changes to the rules and to these terms
The studio can change the booking rules (cancellation window, number of reschedules, changeover time, time to pay) and the rates. The values written on this page are the defaults: the app always shows the ones in force when you book, reschedule or cancel. A booking already made keeps the terms of the day you made it: price, changeover time, cancellation window and number of reschedules are fixed at that moment. New rules apply only to later bookings.
If these terms change, we publish the new version on this page with the date of the update.
